Who can see costs

Control which roles see meeting costs, hourly rates and financial analytics, and which meetings each person can see at all.

The three roles

Every workspace has one owner, and any number of admins and members.

  • The owner sees everything, including annual salary figures.
  • Admins see every meeting in the workspace.
  • Members see their own meetings — the ones they organise or are invited to — plus any wider view you give them.

Who sees costs

Owners and admins control this in Settings → Permissions. A new workspace shows costs to everyone; turn off what you do not want shown.

Under Cost visibility:

  • Show meeting costs to members
  • Show meeting costs to managers — this covers admins.
  • Show meeting costs to team leads — leads see costs for the teams they lead, even if their role otherwise cannot.

Under Financial detail for members, which only applies once members can see costs:

  • Show hourly rates to members — a member's own rate only; nobody but the owner sees a colleague's.
  • Show financial analytics to members
  • Allow members to export CSV

When a cost is hidden from someone, they see the meeting and its hours but not its price. Any totals they see leave hidden costs out rather than guessing at them.

Salaries and hourly rates

One person's pay is never shown to another, except to the owner. That covers both annual salaries and hourly rates — a rate is just a salary divided by 2,080 hours, so it is protected the same way, by the database rather than by a setting.

Admins and members can see their own rate in the meetings they attend. For members, Show hourly rates to members decides whether they see even that. Turning it off does not change what a meeting costs or who can see the total.

Which meetings a member can see

By default a member sees only their own meetings. You can widen that:

  • For a team: on the Team page, in the Teams tab, turn on letting members see their team's meetings. Teams are part of the Business plan.
  • For one person: from that member's row on the Team page, let them see all meetings.

Owners and admins always see every meeting in the workspace.
