The rule
A meeting's cost is the time each attendee spends in it, priced at that person's hourly rate, added up:
cost = sum over attendees of (meeting length in hours × that person's hourly rate)
A one-hour meeting with three colleagues on $50, $60 and $90 an hour costs $200. Hourari works this out when it syncs the meeting and stores the result, so totals and reports all read the same figure.
Who is counted
- Everyone on the invite who has not declined. Accepted, tentative and not-yet-answered all count. Anyone who declines drops out of the cost.
- The organizer, even if they are not on the attendee list.
- External guests are counted as attendees but cost nothing. Hourari prices your team's time, not your clients'.
A colleague is anyone on your team list, or anyone whose email address is on your company's domain. Add your domain in Settings → Company → Company email domains — see the quickstart.
When Hourari suggests that someone be left out of a meeting — for example, a person who rarely attends it — you can exclude them from that meeting's cost. The cost is recalculated straight away.
Which hourly rate each person gets
How individual rates are set is chosen in Settings → Cost & salary → Salary input method:
- Role-based estimates. Each person is given a role, and each role has a salary. Their hourly rate is that annual salary divided by 2,080 working hours (52 weeks × 40 hours).
- Member-entered salary. Each person enters their own salary in Settings → Profile → My salary, and it is divided by 2,080 the same way.
- Set per member by the owner. The owner enters each person's salary under Member salaries on the same settings page, and it is divided by 2,080 the same way. Only the owner can see or change these.
Anyone without a rate of their own — no role, a role with no salary, or no salary entered — is priced at your company's Fallback hourly rate, in Settings → Company. So is a colleague on your company domain who is not on your team list yet.
A salary of zero is treated as "not set", not as "free": that person falls back to the default rate rather than costing nothing.
What is not priced
- All-day events.
- Events of 24 hours or more. They appear with a cost of zero.
- Cancelled meetings. They are removed when the calendar next syncs.
- Meetings you decline through Hourari stop counting toward spend and are counted as savings instead.
Meetings with no other attendees are still priced — as the organizer's own time.
Currency
Pick your company's currency in Settings → Company → Currency, and enter salaries and rates in it. Hourari does not convert between currencies: the currency setting decides how amounts are shown, so the figures you enter should already be in it.
When costs change
Each meeting's cost is worked out when it is synced. If you change a salary or a rate, meetings in the sync window — from the start of last month to the end of next month — pick up the new rate as they are next synced, at the latest within about a day. Sync now applies it immediately. Older meetings keep the cost they were given.
