Know what every meeting costs

Connect Google Calendar or Outlook and every meeting on it gets a price, worked out from who is invited and how long it runs. Nobody fills in a timesheet, and the price moves when the invite does.

How costs are calculated

Sample data. Your numbers come from your own calendar.

How the price is set

Time in the room, priced at each person's rate

A meeting costs the hours each colleague spends in it, at that person's hourly rate, added up. Rates come from the role each person holds, or from salaries the owner enters, divided by 2,080 working hours.

An overhead multiplier adds benefits, payroll tax and office costs on top, so the figure is what the hour really costs the business, not just the salary.

The average is only for the sum. Each person is priced at their own rate, as the breakdown shows, and a guest from outside your company is counted but costs nothing.

Recurring meetings

A weekly meeting is a yearly bill

Every occurrence of a series is priced on its own, at its own length and with its own attendees. Add them up and a $480 meeting every week is $24,960 this year, which is the figure worth arguing about.

Who counts, and who does not

Everyone who has not declined counts, the organizer included. Guests from outside your company are listed but cost nothing. Decline through Hourari and your seat comes off straight away.

See what a shorter version saves

Shortening is one step from the meeting itself, under Optimize meeting. Ninety minutes cut to sixty costs a third less every time it runs.

The details that keep the number honest

Loaded rates, not salaries

The owner sets an overhead multiplier between 1.00 and 3.00. Change it and every meeting is re-priced at once, so the trend has no jump in it.

Three ways to set rates

Salaries by role, salaries people enter for themselves, or salaries only the owner can see. Anyone without one is priced at your fallback rate.

Guests cost nothing

Hourari prices your team’s time, not your clients’. Anyone outside your company domains is counted as an attendee at no cost.

Declines come off

Someone who declines drops out of the cost at the next sync. Decline through Hourari and it happens immediately.

Kept current

Calendars sync about every 30 minutes, and a change to a rate re-prices every meeting from the start of last month onwards.

You decide who sees costs

Costs can be hidden from any role. Someone who cannot see them sees person-hours instead, never a misleading zero.
